1. Our Commitment to Your Privacy

1.1   Balanced Kids Psychology takes the privacy of our clients, their families, our staff, and all visitors to our practice and website very seriously.

1.2   We are bound by the Privacy Act 1988 (Cth), the Australian Privacy Principles, and all applicable legislation governing the handling of Personal Information and Sensitive Information by health service providers.

1.3   This Privacy Policy explains how we collect, hold, use and disclose your information. It applies to our website www.balancedkidspsychology.com.au and to all services we provide.

1.4   This Privacy Policy should be read alongside our AI Policy.

2. Key Definitions

In this Policy, the following terms have the meanings set out below:

2.1   "Personal Information" refers to any information we hold that could identify you, or from which your identity could reasonably be determined. This may include your name, address, email address and contact number, but does not include Sensitive Information.

2.2   "Sensitive Information" includes information about an individul's racial or ethnic background, political opinions or affiliations, religious or philosophical beliefs, trade union or professional association membership, sexual orientation or practices, criminal history, or health-related information.

3.1   In order to deliver our services, Balanced Kids Psychology may collect and retain both Personal Information and Sensitive Information that you provide directly, enter on our website, or supply in other formats, including our Registration, Consent and Information Form.

3.2   Your Data may include:

  1. Contact details such as your name, phone number, address and email address;

  2. Billing and payment details, which we use to process payments for our services (including credit card information);

  3. Health information (physical and mental) including details of past or present conditions or injuries, or whether you are pregnant;

  4. Personal and family history; and

  5. Any other information you choose to provide to us.

Your Data is gathered to support your safety and wellbeing, and that of others at Balanced Kids Psychology, and to enable us to communicate with you and deliver our services.

3.3   We will not collect Sensitive Information without your prior consent.

3.4   We collect your Data through a range of channels, including in-person consultations, online forms on our website, and during the delivery of our services.

3.5   We may also collect additional information at other points, including when you respond to surveys or promotions, provide feedback, update your contact preferences, or communicate with us in any other way.

3.6   On occasion, we may receive your Data from third parties, such as referring medical practitioners, hospitals, clinics, legal representatives or family members. Any information received in this way will be handled in accordance with this Policy.

4. How We Use Your Information

4.1   Personal Information collected by us will only be used and disclosed for the purpose for which it was provided. This includes managing your account, delivering our services, and processing payments.

4.2   We may use your Personal Information to keep you informed about our services, relevant updates, or other opportunities we think may be of value to you.

5.2   Personal Information will only be passed to third parties where necessary for the delivery of our services, including in line with our AI Policy where written consent has been obtained.

5.3   We may be required to disclose your Data in order to comply with a legal obligation, court order, subpoena, warrant, or law enforcement request.

5.4   Your Data may be used to protect the intellectual property, legal rights, assets, or the safety of Balanced Kids Psychology, our website, clients or third parties.

5.5   We may use and share aggregated or de-identified information for research, analysis, or marketing purposes.

5.6   We will not sell, trade or otherwise share your Personal Information with third parties without your consent, except as outlined in this Policy.

5.7   Sensitive Information (including health information) will only be shared with third parties where you have provided written consent.

5.9   In the event of a change of ownership or sale of our business or its assets, we reserve the right to transfer user databases and associated information to the extent permitted by law. Any disclosure in such circumstances would be subject to a confidentiality agreement and made in good faith.

6.1   Balanced Kids Psychology is committed to protecting your Data.

7.1   You may request access to the Data we hold about you in accordance with the Privacy Act 1988 (Cth).

7.2   A small administrative fee may apply. To request access to your Data, or if you believe any information we hold about you is inaccurate, incomplete, out of date or misleading, please contact us at admin@balancedkidspsychology.com.au.

7.3   We reserve the right to decline access requests in certain circumstances as provided for under the Privacy Act.

8. Website Usage Data

8.1   When you visit our website at www.balancedkidspsychology.com.au, we may automatically collect certain technical information such as your browser type, operating system, and the site you visited immediately before arriving at ours.

8.2   This data is used in aggregate form to help us understand how visitors use our site so we can continue to improve it.

9. Marketing Communications

9.1   From time to time, we may send you emails about our services, news or other information we believe may be relevant to you.

9.2   You may unsubscribe from marketing communications at any time by following the opt-out instructions in any such email. Please allow up to 5 business days for your request to be processed. Please note that even after unsubscribing from marketing emails, we may still contact you regarding your account, appointments or other service-related matters. We do not share your Personal Information with other organisations for direct marketing purposes.

10.1   If you have a concern or complaint about how we have handled your personal information, please put it in writing and send it to:
